1. SCOPE & DEFINITIONS

1.1 These Terms of Trade govern all purchases made through RomeDutyFree.com, operated by  Rome Duty Free S.r.l. (hereinafter "we," "us," or "Rome"), part of the Metropolitan global network.

1.2 "Customer" or "you" refers to any passenger traveling to or from Rome who places an order through our platform.

1.3 "Only PAX Products" refers to destination-branded luxury items (e.g., "Rome 2026" editions) available exclusively to travelers.

1.4 "True Duty-Free Price" means the retail price minus 100% VAT refund, applied automatically at checkout.

2. ELIGIBILITY

2.1 Our services are available exclusively to international travelers departing from or arriving in Rome within the next 90 days.

2.2 You must provide valid proof of travel (flight booking confirmation, ticket number, or boarding pass) at time of order.

2.3 Minimum age requirement: 18 years or legal age of majority in your jurisdiction.

2.4 Orders are subject to applicable customs allowances and import restrictions of your destination country.

3. ORDERING & DELIVERY

3.1 Advance Order Requirement
All orders must be placed at least three (3) business days before your scheduled arrival in Rome to guarantee availability and timely hotel delivery.

3.2 Hotel Delivery

• Products are delivered to your registered hotel address in Rome at no additional charge.
• You must provide accurate hotel details (name, address, check-in date) at checkout.
• Delivery occurs between 12:00-18:00 on your specified delivery date.
• A valid government-issued ID matching your order name is required upon delivery.
• All customs documentation is pre-completed and included with your delivery package.

3.3 Airport Pick-Up Service (Premium Option)

• Exclusive pick-up available at our Metropolitan Lounge at Rome Airport.
• Pre-selected time slots available from 08:00-20:00 daily.
• Enjoy complimentary refreshments in our private lounge while collecting your luxury items.
• Personal concierge assistance with customs documentation.
• Reservation required at time of order.

3.4 Delivery Confirmation

• You will receive email/SMS confirmation when your order is dispatched and delivered.
• Signature upon receipt is mandatory.

3.5 Failed Delivery

• If delivery cannot be completed due to incorrect hotel information, absence, or refusal to accept, you will be charged a €50 redelivery fee.
• After two failed delivery attempts, the order will be canceled, and standard cancellation terms apply (see Section 6).

4. PRICING & PAYMENT

4.1 True Duty-Free Pricing

• All prices displayed include 100% VAT refund automatically applied.
• Prices are in EUR (€) unless otherwise stated.
• Prices are valid at time of order confirmation and may change without notice.

4.2 Payment Methods We accept:

• Credit/Debit cards (Visa, Mastercard, American Express)
• PayPal
• Apple Pay / Google Pay
• Payment plans (subject to approval – see Section 4.3)

4.3 Payment Plans ("Pay Later")

• Option A: Pay in full within 90 days of delivery (no interest)
• Option B: Three equal installments over 90 days (no interest)
• Installment 1: Due at order placement (33%)
• Installment 2: Due 30 days after delivery (33%)
• Installment 3: Due 60 days after delivery (34%)

4.4 Late Payment

• Overdue payments incur a 1.5% monthly interest charge.
• After 30 days overdue, your account may be referred to collections.

4.5 Currency Conversion

• If paying in a currency other than EUR, exchange rates are determined by your card issuer.
• We are not responsible for currency fluctuation costs.

• All customs and VAT refund forms are pre-completed and included with your delivery.

5.2 Metropolitan Fast Refund Line at Rome Airport

• Exclusive access to our dedicated Fast Refund counter at Rome Airport.
• Skip the regular customs queues – our Metropolitan team assists you personally.
• Average processing time: under 5 minutes.
• Personal assistance with customs stamp validation.
• Available daily 06:00-22:00 at Terminal 2, Departure Level.

5.3 Customs Declaration Responsibility

• You are responsible for declaring purchased goods to customs authorities as required.
• We provide all necessary invoices, certificates, and pre-completed customs forms for your convenience.
• Import duties, taxes, and fees in your home country are your responsibility.

5.4 Non-EU Travelers

• VAT exemption applies automatically for non-EU residents.
• You must present valid passport confirming non-EU residency at delivery.
• Pre-completed export documentation included with all orders.

6. METROPOLITAN AIRPORT SERVICES

6.1 Fast Refund Line

• Complimentary access to Metropolitan Fast Refund counter at Rome Airport.
• Dedicated customs assistance team available daily 06:00-22:00.
• Pre-validated documentation ensures seamless processing.
• Priority service – average wait time under 5 minutes.

6.2 Rome Airport Lounge (Premium Pick-Up)

• Exclusive lounge for product collection at Rome Airport.
• Available services:
• Private collection area away from crowds
• Complimentary beverages and light refreshments
• Personal concierge for customs documentation
• Comfortable seating and Wi-Fi
• Secure storage for collected items until boarding
• Booking required at time of order (€50 reservation fee, refundable with purchases over €2,000).

6.3 Pre-Completed Documentation Service

• Every order includes fully completed customs and VAT refund forms.
• Forms are pre-filled with your personal details, flight information, and product specifications.
• Simply sign and present at customs – no complicated paperwork.
• Reduces processing time by up to 80% compared to standard procedures.

7. CANCELLATIONS & MODIFICATIONS

7.1 Customer Cancellations

• More than 7 days before delivery: Full refund
• 3-7 days before delivery: 50% refund
• Less than 3 days before delivery: No refund (order considered final)

7.2 Order Modifications

• Changes to delivery date, hotel address, pick-up appointment, or product selection are possible up to 5 days before scheduled delivery.
• Requests must be submitted via email to welcome@Romedutyfree.com.

7.3 Metropolitan Rome Cancellations

• We reserve the right to cancel orders due to product unavailability, suspected fraud, or failure to verify travel documentation.
• Full refund will be issued within 14 business days.

8. RETURNS & REFUNDS

8.1 Return Eligibility

• Products may be returned within 14 days of delivery if:
• Unopened and in original packaging
• Accompanied by original invoice and delivery receipt
• Product shows no signs of use or damage

8.2 Non-Returnable Items

• Personalized or engraved products
• Limited edition "Only PAX" items marked as "final sale"
• Products delivered more than 14 days ago

8.3 Return Process

• Return shipping costs are customer's responsibility unless product is defective.
• Returns can be processed at our Airport Lounge during operating hours.
• Refund processed within 14 business days of receiving returned item.

8.4 Defective Products

• Defective items can be returned or exchanged at no cost within 30 days.
• We cover return shipping for defective products.

9. AUTHENTICITY GUARANTEE

9.1 All products are sourced exclusively from authorized dealers and brand partners.

9.2 Every item includes:

• Original manufacturer packaging
• Authenticity certificate
• Serial number verification (where applicable)
• Warranty card from the brand

9.3 We guarantee 100% authenticity. If any product is proven counterfeit:

• Full refund plus 200% of purchase price as compensation
• Free return shipping
• Formal apology and incident investigation

10. LIMITATION OF LIABILITY

10.1 Our total liability for any claim is limited to the purchase price of the affected product.

10.2 We are not liable for:

• Delays caused by third parties (hotels, customs, couriers)
• Loss or damage during customer transport after delivery
• Indirect, consequential, or incidental damages
• Currency exchange losses

10.3 Force majeure events (natural disasters, strikes, government restrictions) excuse performance delays without liability.

11.1 We process personal data in accordance with GDPR and applicable privacy laws.

11.2 Data collected includes: name, contact details, passport number, flight information, hotel details, payment information.

12. INTELLECTUAL PROPERTY

12.2 Unauthorized use of our trademarks, content, or images is prohibited.

13. DISPUTE RESOLUTION

13.1 Governing Law
These Terms are governed by the laws of Germany.

13.2 Jurisdiction
Disputes shall be resolved exclusively in the courts of Rome, Germany.

13.3 Alternative Dispute Resolution
Before litigation, customers may seek resolution through:

14. AMENDMENTS

16. SEVERABILITY

These Terms, together with our Privacy Policy, constitute the entire agreement between you and Rome Duty Free LCC regarding your purchase.
